Energize & Inspire Staff With Powerful Internal SMS Service

Dec 11, 2020 — 11MIN READ

It can be frustrating to reach staff or volunteers for important updates, especially when they are spread out or on the go. Fortunately, there is one constant — mobile phones. And that’s where an internal SMS service comes in.

With a texting tool like CallHub, you can use an internal SMS service to send updates to your entire staff, letting them know about important organizational updates or urgent notices immediately.

The tool also lets you conduct employee surveys to gather valuable feedback from your staff.

What are some examples of internal communication?

You can use texts for anything from:

  • Cafeteria menus
  • Internal job postings
  • HR updates
  • Business updates
  • Weather alerts
  • Meeting alerts

Let’s talk about:

  • Text message templates you can use
  • How you can start sending alerts and conducting surveys
  • How you can get staff subscribed to your text alerts
  • Why text messages are an effective staff communication channel

How staffing and recruiting teams can use an internal SMS service

For staffing and recruiting business managers, internal texting is about more than company updates. It helps distributed teams move faster when candidate pipelines change by the hour.

You can use an internal SMS service to:

  • Alert recruiters about hot candidates who need same-day follow-up
  • Notify account managers when a client opens urgent roles
  • Remind coordinators about interview blocks, no-shows, or reschedules
  • Share shift-fill updates with branch teams and remote recruiters
  • Send internal hiring pushes when one role needs extra sourcing support
  • Keep recruiters, team leads, and operations staff aligned without waiting for email replies

If your team works across offices, job sites, or time zones, SMS gives you a faster way to cut through crowded inboxes and keep everyone moving in the same direction.

Why use SMS for staff communication?

Here’s why SMS is such a great channel for internal communication.

  • Text messages are cost-effective (standard SMS in the US costs as little as $0.01 per message), with flexible pay-as-you-go or subscription plans depending on your volume.
  • Staff don’t need to download an app, have a smartphone, or have an internet connection.

For recruiting teams, that speed matters most when recruiters need to react quickly to candidate drop-off, interview changes, or urgent client requests.

Getting staff opted-in

Want to start sending internal SMS for alerts and updates to staff? You’ll need to get them subscribed to your contact list first.

Upload an existing contact list

If you already have a contact list with your staff’s phone numbers, you can upload them to CallHub to start using an internal SMS service. This is especially useful for staffing teams that already manage recruiter and coordinator data inside a CRM or recruiting database.

There are two ways to do this:

  1. Upload a csv. file of your contact list into CallHub

  1. Integrate your CRM with CallHub to import contact lists

View the full list of CallHub’s CRM integrations here.

If you don’t have an existing list, you can create a new contact list by:

Gathering opt-ins through text

If you don’t have an existing list, you can build one through an SMS opt-in campaign.

Step 1:

Choose SMS Opt-in from the CallHub dashboard

Step 2:

Select a phone number that is used to assign the incoming message to your campaign. You can also use a shared shortcode for SMS Opt-In campaigns.

Step 3: Creating prompt flow:

You can collect additional details from staff to personalize your messages with the help of prompts.

The prompt message is the message that is sent to staff to let them know what data is required from them.

Response field determines the data you collect from the contact i.e by default – email, name, country code, city, state, zip code, address, contact number, etc.

Select the response field and add a prompt message. Then click on “Next prompt” to add more prompts.

Step 4:

All that’s left is to advertise your keyword and shortcode/long code to staff and ask them to sign up for internal SMS alerts.

  • Put up posters and signage at work events to prompt staff to sign up.
  • Include a CTA to opt-in in your emails for those staff not in your SMS list.

A quick note on consent and compliance

Before you send internal texts, make sure your team has clearly agreed to receive them. That matters even for employee communication.

For US staffing and recruiting teams, a good process usually includes:

  • Collecting clear opt-in consent
  • Explaining what kinds of messages staff will receive
  • Offering a simple opt-out option
  • Limiting messages to relevant operational updates
  • Keeping employee and recruiter contact data secure

This keeps your internal SMS program more useful for staff and easier to manage as your team grows across offices and regions.

Sending updates through mass texts

Mass texting allows you to send personalized internal SMS to staff. You can schedule a mass text to go out, and it will autofill each individual contact’s details, as long as you have them in your database.

Step 1:

Choose Text Broadcast from the CallHub dashboard

In a mass texting campaign,

  • A campaign manager uploads a contact list.
  • Creates a text broadcast campaign targeting that list.
  • Drafts a text message, personalizing it with merge tags like {first-name}.

Once in campaign setup, you can name your campaign, choose the contact list you want to engage, and set a caller ID (shortcode/long code).

Step 2:

Enter the initial message you want to broadcast to your contact list

Step 3:

In addition, you will need to enable automated replies within the campaign.

You can set a keyword that will trigger your reply to go out.

Step 4:

Once you schedule your campaign, your initial mass texts will go out. Any automated replies that were set up will only be sent within the start and end dates.

When to use SMS instead of Email or Chat

Email still works well for longer updates, documents, and policy changes. Team chat works well for ongoing discussions. But SMS is the better choice when speed matters.

Use your internal SMS service when you need to:

  • Get a response quickly
  • Reach staff who are away from their desks
  • Notify teams about urgent schedule or staffing changes
  • Confirm that an update has been seen
  • Cut through crowded inboxes during busy recruiting cycles

For staffing and recruiting teams, that often means using text for immediate coordination and email for fuller context.

Conduct employee surveys

Here’s how you can use peer-to-peer texting to survey your staff with CallHub.

In a peer-to-peer-texting campaign,

  • A campaign manager uploads a contact list.
  • Assigns a batch of contacts to each agent.
  • Agents then reach out and engage people in one-to-one conversations.

Each agent can send out around 3500 texts in the span of an hour with data collected from conversations instantly syncing with your CRM.

Choose peer-to-peer texting in the CallHub dashboard:

Step 2:

Add templates for your initial message and questions agents need to ask.

In addition, you can add saved replies. Your agents/volunteers can choose and send these standard replies to contacts.

As your agents receive responses from contacts, they can fill in the survey responses. This data is synced back to your CRM if you have integrated it with CallHub.

If not, you can export them as a CSV file.

Survey ideas for staffing and recruiting teams

If you manage a distributed recruiting team, internal SMS surveys can help you spot problems earlier.

You can use short text surveys to ask:

  • Whether recruiters have enough qualified candidates for current roles
  • Which clients need extra support this week
  • Whether interview scheduling is slowing placements down
  • What objections are candidates raising most often
  • Which branch or team needs help filling open jobs faster

Short surveys work best when they ask one clear question at a time and make it easy for staff to reply quickly.

Internal SMS examples

Let’s look at a few ways organizations can send texts for internal communication, with examples:

Meeting alerts

Scheduling a text message to go out in advance means you don’t need to worry about making last-minute reminders to staff.

To everyone: The quarterly Town Hall is scheduled for 6 PM on Monday. Check your Calendar for the link.

Weather alerts

Send mass texts to alert staff of cancellations and postponements because of bad weather.

Storm front alert this morning. Feel free to work from home. Contact your respective team leads to coordinate.

Business updates

Send company-wide updates, or just alert segments of staff by choosing the respective contact lists to send a mass text message to.
